Amazon Sales vs Net Proceeds: Reconcile Fees, Refunds and Timing

Understand why ordered sales, financial events and settlement proceeds can differ. Use a reconciliation checklist without presenting Amazon proceeds as profit.

Amazon ordered sales, financial events and settlement proceeds describe different parts of the selling process. Two screens can show different totals without either proving lost revenue or an unexplained fee. Start by identifying what each amount measures.

NAVINES IQ helps investigate returned, read-only financial evidence with source context. This guide provides an operational reconciliation method, not accounting, tax or investment advice. It does not establish complete financial records or calculate net profit from proceeds alone.

Align the scope before subtracting two totals

Write down the seller, marketplace, currency, source and date basis for each amount. Order dates, financial-event dates and settlement periods are not interchangeable. Equal calendar filters do not make the underlying records equivalent.

Check which transaction types and order states are included. Recent orders, refunds, reimbursements and adjustments may be represented in different periods. A missing or pending report leaves a gap in the comparison; it does not establish a zero balance.

  • Do not combine currencies without an explicit, justified conversion.
  • Keep an orders total separate from a settlement payout or event total.
  • Record the source period and retrieval time for both sides.
  • Retain unresolved differences instead of allocating them to a guessed fee.

Build a bridge using returned evidence

Begin with the known amount and identify records that genuinely explain movement toward the comparison amount. Inspect returned charges, refunds, reimbursements and adjustments where available. Preserve their sign and source; do not count the same adjustment twice just because it appears in two reports.

Ask a focused GPT question: 'Compare these two amounts for this marketplace and currency. State the date basis for each, list the returned transaction categories and keep any unexplained difference separate.' NAVINES IQ's GPT and Dashboard are independent views, so confirm their source scopes rather than expecting identical screen totals.

Hypothetical example: a $300 difference is not automatically fees

These are hypothetical numbers, not customer results. Suppose a compatible comparison starts with $1,000 and ends with $700. The difference is $300, but subtraction alone does not identify its cause.

For an intentionally simplified example, assume verified records show $200 in charges, $80 in refunds and a $20 positive reimbursement in the same scope. The arithmetic bridge is $1,000 - $200 - $80 + $20 = $740. Compared with $700, $40 remains unresolved. It would be misleading to call all $300 fees or to label the remaining $40 a loss without evidence.

Real Amazon records are more complex than this teaching example. Check timing, coverage and included transaction types before using such a bridge. If the amounts do not share a compatible basis, do not perform the reconciliation as though they do.

Amazon net proceeds are not net profit

Amazon-side proceeds can omit seller-provided product costs, freight, packaging, advertising and other expenses. They also do not settle tax or accounting treatment. Keep a source-grounded proceeds figure separate from any contribution estimate made with external costs.

When using a cost spreadsheet in the GPT, identify the SKU, currency, period and cost basis. State which costs are included and which are still missing. Do not subtract a cost twice if it is already reflected in the chosen financial measure. A result based on incomplete costs is a limited estimate, not verified net profit.

Investigate one exception at a time

Start with the largest unexplained or operationally important difference, not a promise to recover money. Where identifiers and source coverage allow it, trace a returned reimbursement, refund or adjustment back to the related evidence and check for a later reversal.

Record what is known, what is unverified and which source would close the gap. If a report is still pending, preserve that status. Sellers and their advisers decide whether an accounting entry, support case or other action is appropriate; NAVINES IQ does not perform those actions.

Choose the next workflow

Use the methodology's worked example for the source-comparison rules, the glossary for proceeds and settlement definitions, and the Seller Intelligence page to see the supported product workflow. Advertising evidence requires the separate Amazon Ads authorization; do not assume it is included in Seller Central financial data.

Start with the time-limited Seller trial if you want to investigate your own authorized evidence. Current paid access and human assistance are described on the pricing page; no report availability or financial outcome is guaranteed.

Frequently asked questions

Why are Amazon sales different from net proceeds?

They can use different transaction definitions, date bases and included adjustments. Verify source scope and returned financial evidence before attributing the difference to fees or lost revenue.

Can I treat Amazon net proceeds as profit?

No. A profit or contribution estimate needs compatible seller costs and a clear accounting scope. Missing external costs and possible double-counting must remain explicit.

Does NAVINES IQ recover reimbursements or change financial records?

No. NAVINES IQ supports read-only investigation of returned evidence. It does not submit reimbursement claims, change financial records or act on the seller's account.

NAVINES IQ provides read-only analysis and guidance. Sellers remain responsible for every marketplace and business decision.
